Introduction
This document provides instructions on how to configure Microsoft Outlook 2003 for use with IMAP and secure authentication of your outbound (SMTP) email.
Outlook can only be configured for IMAP (not POP) mail at MIT.
Important: For virus and security reasons, it is recommended that all users keep Outlook up to date by installing the latest updates using Microsoft's Office Update service and Windows up to date by installing the latest updates from the Windows Update service.
Configure Microsoft Outlook
- Go to Start>Microsoft Office Outlook.
Result: If you are launching Outlook for the first time, a startup window will display. If you have previously created an Outlook 2003 account, skip ahead to step 7.

- Click Next.
Result: If you previously used another email client, such as Outlook Express, a dialog box will display giving you the option of upgrading your email. If you previously used Eudora (no longer IS&T supported), see Outlook XP/2003 for Windows: Importing Eudora Email and Address Book.

- Click Next.
Result: The Account Configuration Email Dialog box appears.

- The default should be set to Yes. Click Next.
Result: The Server Type dialog box appears.

- Choose IMAP and click Next.
Result: The Internet Email Settings dialog box will appear. - Enter the following settings:
User Information
Your Name: e.g., John Doe
Email Address: johndoe@mit.edu
Server Information
Incoming mail server (IMAP): enter the dynamic MIT mail server: yourusername.mail.mit.edu (Example: johndoe.mail.mit.edu).
Outgoing mail server (SMTP): outgoing.mit.edu
Logon Information
User Name: Enter your MIT Kerberos username, which is the part of your email address before the @mit.edu (Example: johndoe)
Password: Leave blank (For security reasons, it is suggested that you do not enter your password at this time.)
Note: For users who created Mail accounts before January, 2008, you will have configured your incoming mail server to be a post office server. You may continue to use a specific server rather than the above dynamic option. If you need to reconfigure your account settings, you should enter poxx.mit.edu (Example: po12.mit.edu) for the Incoming Mail Server. Find out the name of your post office server.

- Click on More Settings...
Result: The Internet Email Settings dialog box, containing four tabs, appears.
Note: If this is not the first time you are launching Outlook 2003, go to Tools>Email Accounts...
Choose Add an email account and click Next.Choose IMAP in the Server Type dialog and click Next.

- Click the Outgoing Server tab. Click the checkbox for My outgoing server (SMTP) requires authentication. Leave the default setting to Use same settings as my incoming mail server.
Result: The Outgoing Server information should display as follows:

- Click on the Advanced tab. Check the two boxes labeled This server requires a secure connection (SSL) for both Incoming server (IMAP) and Outgoing server (SMTP). Leave the Incoming mail port at its default of 993, but change the Outgoing mail port from 25 to 465.

Note: In the unlikely event that port 465 should fail (after you have completed this procedure and try to send email), IS&T recommends that you try port 587. Some users have been successful in sending authenticated outgoing email at MIT via port 587 in lieu of 465. After you complete this procedure, you can confirm that secure outbound SMTP has been properly configured by sending yourself a test message and confirming that mail headers contain the appropriate information. - Click OK, then Next, then Finish.
Note: If you have not yet installed the MIT CA Certificate for Internet Explorer, you will see a security warning dialog box. To prevent this dialog box from occuring each time you log on to Microsoft Outlook, see the Internet Explorer section on Certificates at MIT.
Result: Microsoft Outlook is now configured to access your MIT mail account. You will be prompted to enter your password when sending/receiving mail from your account on the MIT mail server. Your mailboxes should look similar to the following:

- To connect to the MIT server and download your mail, click on the Send/Receive button in the toolbar. You will be prompted for your password to connect to the server.
Note: For users who have changed the incoming mail server from a po box to yourusername.mail.mit.edu, see Email at MIT: Switching From a Post Office Server to a Dynamic Server. Known issues include possible modification to rules and filters after making the switch.
